Simplified HMS account provisioning for guests

To enhance efficiency and streamline the onboarding process, HMS IT will implement a new process for provisioning HMS accounts for guests starting Thursday, August 15, 2024.

For guests with an active HSR, no action is needed.

For HSR renewals and new requests, admins and sponsors will follow this new process:

  1. Sign in to the HSR portal – Access the HSR portal to request a Harvard-sponsored role (HSR) for a guest. 
  2. Request services for the guest – In the HSR portal, under the Service Eligibility section, check off the services the guest needs as part of your request. If an HMS account is needed, select School-specific Active Directory.  
  3. Automatic guest account provisioning – Within 24 hours of approval, the guest will receive an email prompting them to claim their HarvardKey and HMS account. 
  4. Automatic guest account de-provisioning – The guest's access to services will be revoked automatically after their HSR ends. 

With this update, admins and sponsors no longer need to submit separate request forms for HSR and accounts. In this new process, when the HSR is approved, a HarvardKey and HMS account will be automatically provisioned for guests, and they will be automatically de-provisioned at the end of the HSR term.
